Workbench + Payapps integration
Know your job margin on what was approved, not what was claimed
Built for civil and trade contractors. Your team imports the approved claims from Payapps into Workbench, so your project managers and finance team work from the same numbers on every job.
Over 400 businesses across Australia and New Zealand have chosen Workbench.
Know where each claim stands, from schedule to approved.
Skip rebuilding your claim schedule.
Import your Payapps claim schedule with its codes, descriptions and rates, instead of rebuilding it line by line.
See the month's claim while you wait on approval.
Submit in Payapps, then import the claimed values. Project managers can see what's been claimed on the job while approval is pending.
See job margin on the approved figures, not your claim
After approval, import the new export. Approved values replace the claimed ones on the same claim, so the job shows where you actually stand.
Know which figures reach Workbench, and when.
You import by hand, and figures move one way, from Payapps into Workbench.
| Information shared | Direction | Why it matters |
|---|---|---|
| Claim schedule: codes, descriptions and rates | Payapps → Workbench | Start from Payapps codes and rates. |
| Claimed values, before approval | Payapps → Workbench | See your claim on the job before approval comes through. |
| Approved values, overwriting claimed values | Payapps → Workbench | The job shows the approved amount, not your claim. |
| Payment schedule and approval | Stays in Payapps | Payapps stays your record of approval. |
Payapps keeps the approval record. Your team gets the approved claims.
You still submit in Payapps, which stays the record of approval. In Workbench, project managers see where the job stands on what was approved, and Finance work from the same figures.

Match, then import
Line up your Payapps references with your schedule codes first, so every line lands where it should.

Import approved values
After approval, save the new export as Excel and import it. The claim in Workbench matches what was approved.

Questions about Workbench and Payapps
Do we still claim through Payapps?
Yes. Payapps stays the record of the payment schedule and approval, and the import only brings figures one way, into Workbench.
Do we type the claim figures in again?
No. You import the schedule, claimed values and approved values from your Payapps export files, so you do not type those lines into Workbench again.
Does Workbench link to Payapps?
No. The two are not linked, so Workbench shows the figures as at your last import. You run the imports by hand.
Do we fill in a template?
No. Save the Payapps export as Excel and import it as supplied. The import reads only the columns it needs.
Do our Payapps codes have to match?
Yes. Line references have to match your schedule codes exactly, or the import cannot reliably find the Workbench line to update. Any that differ are reconciled first.
Do variations stay separate?
Yes. Original contract lines and variation lines land on their own schedules, so you can tell them apart. Those are the two schedule types the import supports.
